Capturing the profile of your business unit
A business plan is focused more on the planning, execution, and reporting aspects of a business unit. A business profile supplements this with additional information about a business unit. The profile enables users to enter data, store it and then utilise pre-defined inputs when creating business plans.
In addition to the Objectives, Outputs, KPIs, and Risks you can also capture the following under the Business profile section:
• Context
• Budget
• Workforce
• Projects register
• BAU Activities register
• Issues register
To learn how to detail out a business profile, follow the steps below :
Step 1
Using the Digital Front Door navigate to the Business Plan Register workspace.
NOTE:
By default the system will load the Business Unit that you belong to. Also, use the toggle to switch to Detailed to see all the hidden tabs (as required)
Context
Within the Context tab, you have the ability to capture essential information regarding the business unit's purpose and provide a concise overview of its operations. Additionally, you can compile a list of stakeholders and strategic drivers using a predefined selection of values.
Note: The Drivers available for selection are initially captured within the Strategy module of SDZ. Similarly, the list of stakeholders is maintained within the System Configuration. If you are unable to locate a specific stakeholder in the provided list, please reach out to your SDZ Administrator for assistance.
Budget
In this tab, you can capture the budget allocated for the business unit and the units that come under it in the org structure. To add/edit the values, you can click on the pencil icon for the corresponding row. You can also expand and collapse the rows by clicking on the blue arrow to the left of the Business Unit name.
Workforce
In this tab, you can capture information regarding the workforce composition within your business unit. The workforce tab has two sub-tabs within it:
By Business Unit
In this sub-tab, you will see the count of employees within an organisation classified as
○ FTE - Full-time employee
○ PTE - Part-time employee
○ Contractors
To add/ edit these values, when you hover your mouse over the numbers, you will see a pencil icon that appears. Click on the pencil icon to add/ edit the values.
By Job Family
In this sub-tab, you can capture the count of employees in your business unit based on the job type they perform. To add employees to this list, click on the Add Employees link.
Objectives
This tab shows a register view of the business unit objectives based on the various planning cycles. You will note that the objective we captured in the business plan is visible here. You can choose to directly add objectives from this tab by clicking on the 'Add Objective' link. Additionally, you can edit/ delete an objective by clicking on the respective icons corresponding to the respective objective row. Clicking the edit button will open a pop-up window in which you can add/edit the data and click Save to commit it to the system.
Outputs
This tab shows a register view of the outputs linked to business unit objectives based on the various planning cycles. You will note that the output we captured in the business plan is visible here. You can choose to directly add outputs from this tab by clicking on the 'Add Output' link. Additionally, you can edit/ delete an output by clicking on the respective icons corresponding to the respective output row. Clicking the edit button will open a pop-up window in which you can add/edit the data and click Save to commit it to the system.
Key Performance Indicators [KPIs]
This tab shows a register view of the KPIs linked to business unit objectives based on the various planning cycles. You will note that the KPI we captured in the business plan is visible here. You can choose to directly add KPIs from this tab by clicking on the 'Add KPI' link. Additionally, you can edit/ delete a KPI by clicking on the respective icons corresponding to the respective KPI row. Clicking the edit button will open a pop-up window in which you can add/edit the data and click Save to commit it to the system.
Risks
This tab shows a register view of the Risks linked to business unit objectives based on the various planning cycles. You will note that the Risk we captured in the business plan is visible here. You can choose to directly add Risks from this tab by clicking on the 'Add Risk' link. Additionally, you can edit/ delete a Risk by clicking on the respective icons corresponding to the respective Risk row. Clicking the edit button will open a pop-up window in which you can add/edit the data and click Save to commit it to the system.
• Projects
In this tab, you can capture projects linked to the selected business unit. You can add a project by clicking on the Add Project link
Note: The projects that show up in this register are the projects owned by the selected business unit. Even though projects are linked in the business plan, if the project ownership is not with the selected business unit, it will not show up in this register.
• BAU Activities
In this tab, you can capture BAU activities linked to the selected business unit. You can add an activity by clicking on the Add Activity link.
Note: The activities that show up in this register are the ones that are owned by the selected business unit. Even though activities are linked in the business plan, if the activity ownership is not with the selected business unit, it will not show up in this register.
• Issues
In this tab, you can capture issues linked to the selected business unit. You can add an issue by clicking on the Add Issue link.
• Attribution
In this tab, you can capture a high level % Attribution of your business unit's resources and initiatives focus contributing towards the success of:
• Strategic Objectives
• PBS Outcomes
• Capability Groups
You can capture an estimated % value based on the discretion and understanding of the senior members involved in the business planning for your business unit. In the three sub tabs, you will see a comprehensive list of all the objectives, outcmes and capability groups, irrespective of whether your business unit is aligned to them or not. To assign the values, click on the 'Assign Attribution' button on the right side of the screen.
This will make the attribution fields editable. You can assign values against the various parameters (in this case, strategic objectives). Click save to commit the data to the system.
Note: Since % value relates to the efforts and resources of your business unit, you have to assign values that add up to 100%. If your plans do not contribute to a particular parameter, you can assign it a value of 0.
